January is the month when receipts pile up: donors want their year-end statements early, the finance team wants clean records, and the same two people are supposed to make it happen while running everything else. The usual failure is not effort but planning, because nobody worked out in December whether the volume fits the calendar. This planner does that arithmetic in a minute.

It multiplies your receipt count by the minutes each one takes, adds a buffer for corrections and returned mail, and compares the total to the hours your team can actually give per day across the working days you have left. You get total hours, the days it will take with your current team, and how many people you would need to finish on time. Every figure comes from your inputs; nothing is assumed about how fast an office should be.

How to use this tool

  1. Count the donors who gave this year to get the number of statements, then time a handful of them to find your real minutes per statement.
  2. Enter how many people can help, how many hours a day each can realistically give, and the working days left before the date you promised donors.
  3. If the status says you are short, either add people, add hours per day, cut minutes per statement with a batch process, or move the deadline and tell donors early.

What the math assumes

  • Total work equals statements multiplied by minutes per statement, increased by the buffer percentage you enter (default 15%).
  • Every person on the team contributes the same number of receipt hours per day; the planner does not model faster or slower individuals.
  • Days needed divides total hours by the team hours available per day and shows 0 when no team hours are entered.
  • People needed is rounded up to a whole person and assumes each one can work the hours per day you set for every working day until the deadline.
  • Working days are whatever you enter; the tool does not know your calendar, holidays or mail delivery times.

Frequently asked questions

Why does the planner say I need more people than I have?

Because at your hours per day and the working days left, the current team cannot cover the total hours. Check whether adding hours per day is more realistic than adding people.

What buffer percentage should I use?

Use your own experience from last year: count how many statements were reissued or returned and divide by the total. If you have no record, keep the default and track it this year.

Does this work for emailed statements too?

Yes. Emailed batches usually have a much lower minutes-per-statement figure and a smaller buffer, so enter those numbers and the plan adjusts.
